Transforms, views and export
Transforms change what you see without changing the hierarchy. Views save the columns you work with. Export, print and share links take the result elsewhere.

Transforms
A transform filters, sorts, groups or extends the rows on your own screen. The hierarchy, its rules and other people's views stay as they are. Transforms run in your browser and read Jira as you, so they find only what you may see.
Select Transform… in the transform bar, under the find box. The menu lists ready-made presets, your own presets under My presets, and Custom…, where you build one.
Ready-made presets
- Unresolved only
- Assigned to me
- Show child issues
- Group top level by assignee, by status or by fix version
- Sort by priority
- Recently updated first
- In open sprints
- Hide issues of closed sprints
- Hide duplicates placed by rules
Custom transforms
| Kind | What it does |
|---|---|
| Keep issues matching JQL | Keeps the issues that match a query, with the rows above them. |
| Keep issues containing text | Keeps the issues that contain the text, with the rows above them. |
| Keep rows matching a tree query | Keeps the rows a tree query picks, with the rows above them. Group rows and folders can match too. |
| Keep issues by field value | Compares a field with a value: is, is not, is less than, is at most, is more than, is at least, contains, is between (both ends included), is empty or is not empty. |
| Keep issues in sprints | Keeps the issues of the sprints you pick. |
| Keep specific issues | Keeps the issues you pick from Jira's issue picker, with or without what is under them. |
| Show child issues | Adds the children of each issue, as many levels down as you choose. |
| Show linked issues | Adds the issues linked by a link type, in the direction you choose. |
| Group by field | Groups the top-level issues by a field, with Same names together for versions of several projects. |
| Group by linked issue | Groups the top-level issues under the issue they link to. |
| Sort by field | Sorts the issues at every level, ascending or descending. |
| Show issue details | Lists comments, work logs, attachments, issue links, web links or history under each issue, as lines. These lines are not rows, so they don't count in totals. Exports carry them one level under their issue. |
The column header menu adds two more, a sort by any column and a filter by value, and they appear in the transform bar like the others.
Working with transforms
Each transform in use shows as a chip in the transform bar. Remove one with its ×, or all of them with Clear. Refresh reads the issues from Jira again. Save as preset… keeps the transforms in use under a name, in My presets.
You can use up to 10 transforms at once. Those that work like rules run first, in a fixed order: adding issues, then filters, then grouping, then sorting. The other filters (field values, sprints, chosen issues, tree queries) and removing duplicates then run in the order you added them. Sorting, grouping and filtering by a column apply last. A filter that can't run, for example because Jira refused its JQL, keeps nothing and says why.
While a transform changes the rows, you can't rearrange the hierarchy: adding, moving and removing rows are off, and so are rule changes. You can still edit issue fields, and the transforms run again after each edit. Computed columns, Find rows, export and printing all follow the transformed tree.
A write-back runs on the rows as shown, so a filter also narrows what a write-back changes.
Views
A view is a saved set of columns, with their order, widths, names and settings, and the transforms in use. The view menu in the toolbar shows the name of the view in use. It lists:
- Default view, the site's or the hierarchy's default columns.
- Start from, the starter views that ship with the app.
- My views and Shared views, the views you can use. Find shared views searches when there are many.
- This view: Save as a new view…, Share… and Delete view.
When you change columns, transforms or which rows are expanded, a Save view button appears. If you may edit the view in use, it saves the changes into that view. Save as a new view… keeps them as a view of your own, and you can tick Share with everyone as you save.
Starter views
| View | Columns |
|---|---|
| Basic | Status, assignee and priority. |
| Issue details | Who, when and how urgent. |
| Planning | Story points and their total, releases, due dates and progress. |
| Time tracking | Estimates, time spent and progress by time. |
| Triage | Priority, reporter, labels and components. |
| Outline | Outline numbers and counts under each row. |
| Compact | Just the status, for small spaces. |
When you pick a starter, its columns appear on screen as unsaved changes, and you keep them by saving them as a new view.
Sharing a view
Share… sets who can use a view: Only me, Everyone, or Only these people, groups and project roles. To pick a project role, you pick a project and then one of its roles. People see the view itself but not who else it is shared with. Jira admins can see and manage every shared view.
Sharing a view gives no access to any hierarchy or issue, so each person still sees only what their own access allows.
Views on each page
People with Control choose, on the Views tab of the hierarchy's settings, which views the hierarchy offers on each page (the app's page, project pages, the board tab and dashboard gadgets) and which one opens by default. Only views shared with everyone can be a default. Offering only some views trims the menu, but anyone can still open a view they can see from a link.
Export and print
Export… in the toolbar offers Excel (.xlsx), CSV, JSON and Print. An export holds the rows in view, as you see them, with their columns, outline levels, totals and formula values. Numbers, percentages, durations and dates stay numbers and dates in a spreadsheet.
Long text is exported as its first 100 characters, as the app keeps it. Rows you opened with Show more export whole.
Printing is limited to 5,000 rows. For more rows, export to Excel or filter the rows first. If an export is too large for the browser, filter the rows or remove columns.
Share links
Share link, in the More actions menu (•••), makes a link that opens the hierarchy as it is on your screen: the view or columns, transforms, expanded rows, the branch shown, the find box, Hide done and text wrapping. Anyone who may open the hierarchy gets the same page, and others get nothing from the link. Each person still sees only the issues Jira lets them see.
Jira has no email service for apps, so you copy the link and send it yourself. A page that is too large to share as a link asks you to collapse some rows or remove some transforms.
